Workflow Optimisation
For any operational process to run efficiently – saving costs, increasing patient safety, eliminating errors, increasing overall efficiency – it is critical to put the right set of procedures and workflows in place and enforce their correct execution. XLine enables hospital departments (including operating rooms, endoscopy, medical-technical departments, logistics, CSSD and many others) to define such workflows and guides their operations personnel in implementing them. The platform alerts when a deviation from the defined workflow is detected.
Depending on each specific case, such deviation requires user confirmation, supervisor authorisation, or, in the case of extreme errors, simply leads to system lockout. All user activities are recorded in an event database, so that in case of a problem, the performed workflow can be reconstructed and analysed.
Examples
Reconditioning a set/endoscope after a previous use requires a number of actions that must be performed meticulously. XLine guides the operator by documenting every step, monitoring execution time, linking materials or detergents used, tracking external data such as machine cycle numbers, and much more.
XLine OR supports the entire patient journey from arrival at the operating room to his or her departure from the recovery room. At regular intervals during this process, the system guides department staff in recording patient/surgery-related activities through an intuitive graphical user interface.
XLine Logistics helps staff prepare materials for a medical procedure by clearly indicating which materials are needed per operation and where they can be found, taking into account current stock levels and expiration dates of materials. It shows the user the most optimal path through the storage locations to collect all the necessary materials.
Real-time Workload Monitoring
Optimal resource planning is indispensable for running any department efficiently. But available resources are sometimes volatile. Employees may be unexpectedly absent, or urgently needed elsewhere. In the hospital, and especially in the operating room, planning is just as volatile, as urgent operations may take place, others be postponed, etc… For this reason, to ensure optimal organisation, it is crucial to monitor – in real time – the current and expected future workload of a given department. XLine offers several real-time dashboards to visualise the activities and workload of, for example, the operating room.
This includes:
- An OR overview screen that displays in real time all planned and ongoing operations.
It clearly visualises when and where problems may arise, such as material shortages, operations yet to be assigned, staffing problems, etc… - A CSSD priority screen that displays the current and expected workload in each zone, allowing department management to move staff between zones as needed.
These dashboards connect to OR scheduling in real time and respond immediately to any scheduling changes.
Reports and Statistics
XLine’s reporting module enables performance analysis of a given medical department through a comprehensive set of readily available, predefined reports.
For those who require more specialised reports, XLine allows the look and feel of each report to be highly customisable.
It is even possible to personalise the queries to obtain specifically desired data.
Context-sensitive Guidance
Whether a user is handling dirty sets or instruments, replenishing inventory, preparing a Case Cart for surgery, scheduling a medical procedure or performing another XLine workflow, the system looks over the user’s shoulder and provides context-specific guidance at each step of the process.
This includes:
- Inform the user which set is to be handled next
- Inform the user why a particular action is not allowed or not recommended
- Guide logistics employees through stock locations and tell them where to pick up or store what materials
- Guide Endoscopy employees by clearly depicting each step of the reprocessing process, in the correct order and each with their specific time or material constraints.
Inventory and Lifecycle Management
Through comprehensive functionalities designed specifically for decentralised material storage, XLine supports inventory control and lifecycle management of numerous materials, including instruments and instrument sets, endoscopes, bulk consumables, catheters, implants and prosthetics, pharmaceuticals, and so on.
Tracking and Tracing
Through a series of context-sensitive functionalities, XLine supports the track and trace of all processing steps of materials and equipment, allowing disinfection personnel (CSSD/Endo) to perform their daily tasks on endoscopes, sets and instruments.
This ensures maximum traceability information with minimum registration effort.
Reprocessing of Instruments
The ever-increasing number, complexity and price of materials and equipment used, as well as the increasing variation in maintenance, disinfection and sterilisation procedures, have made “traceability” one of the most important topics in hospital quality management today.

Because kits and equipment are scarce and often made very specifically for the implants used, hospitals often borrow them from a specialised supplier.
XLine provides all the functionality to manage (from order to return) such loaned materials.
Material Cost Calculation
XLine offers functionalities for performing in-depth analyses on the costs of a CSSD. This allows the estimation of required future budgets, as an indispensable part of management reporting. The system makes it possible to configure the cost structure for a campus, charging different types of costs (including operational costs for machines). Each hospital can there for build its own specific system that allows for cost optimisation.
Besides calculating the CSSD cost, XLine also allows to calculate at a higher level the total material cost of each type of procedure or examination. Costing is not only there for internal use between departments in the same hospital. It is also possible to calculate costs in the context of external service provision to third parties (other hospitals, for example).
Components
Components are a very powerful addition to the standard functionality offered.
They allow hospitals to customise or expand their system with screens that are configurable to their needs, without additional development on the part of the company.

Repair Management
Instruments and endoscopes are critical materials that require careful maintenance, including repairs by third parties (outside organisations, dealer or manufacturer).XLine fully supports the process of external repairs by keeping track of which materials are under repair, associated costs, how long the repartition took, and so on. Any replacement equipment can be recorded.
The system keeps track of all documentation such as quotation request, repair request, receipt and return of the replacement device, invoice, etc… Plus, the necessary reports and statistics are also provided.
Management of Priorities

Whether it’s about the location of sets or endoscopes, the activities of users, the consumption of materials, the reconditioning of endoscopes or instrument sets, or any other activity: XLine guarantees 100% traceability of all actions performed.
This allows a coordinator or administrator to easily find out at any time who did what, where, when.
Integration with Technical Equipment
Aexis Medical has the experience and knowledge to interface with numerous technical equipment present in a hospital.
Think of automated pre-cleaning tables, washing machines, sterilisers, endoscope disinfection machines, drying cabinets, aseptic storage machines and ultrasonic cleaners. Thanks to the link with all these machines, XLine offers a complete overview of all actions that have taken place during the washing, disinfection or sterilisation of sets or endoscopes.

Resource Planning
Materials and equipment used in medical procedures are often expensive and/or scarce. XLine helps hospitals use these resources efficiently by offering detailed resource planning and notifying users of any problems.
When scheduling a medical procedure, the system immediately informs when a particular set or endoscope is already scheduled elsewhere, or when it may not be available in time.During the reprocessing procedure, the system will flag materials that must be processed on a priority basis to meet the surgical and/or examination schedule.

XLine’s staff scheduling modules enable detailed planning and assignment of anesthesiologists and nursing staff.

Complete Procedure and Material Registration
XLine enables the complete registration of medical operations such as surgeries and endoscopic or other medical technical examinations.
These include the reception and installation of the patient, registration of the attending medical personnel, anesthesia drugs and medication administered, registration of all materials used, … The system keeps track of the execution time of each step of the procedure and allows (forced or not) registration of context-dependent data, such as WHO safe surgery checklists, at the transition from each step to the next.
During and at the end of the procedure, XLine compares the expected and actual counts and possibly the weight of the sets used, to ensure that nothing is left in the patient.
XLine’s extensive reporting functionality enables the generation of numerous reports and documentation of the procedure performed, including prescriptions, invoices, procedure summaries, bills of materials and much more.

Registration of Material Consumption
In order to close the logistics chain, a correct registration of the material consumption must take place during the medical procedure.
XLine offers several possibilities for this, ranging from individual registration per product used, instrument set or endoscope to combined consumption registration via case cart or bill of materials, depending on what is most practical for the medical staff.
But proper registration of consumed materials also offers other possibilities.
For example, it enables the creation of invoices, material usage lists and patient prescriptions, and it generates orders for materials when a defined minimum inventory level is reached.
